GENERAL DESCRIPTION: This staff position is responsible for multiple tasks in support of the University Advancement Office, including the alumni and development functions.
Essential Job Functions:
- Assist development staff and Director of Alumni Activities with information management and data entry related to donor and alumni relations.
- Generate reports from development database as needed.
- Support development officers when traveling by providing information, as needed.
- Generate letters, notes, and other correspondence at the direction of development officers and alumni office staff.
- Maintain accurate records of contacts with alumni and donors.
- Research and respond to alumni concerns and requests.
- Assist with scheduling appointments with donors and alumni.
- Assist with travel and event planning, as assigned.
- Assist in maintenance of U.A. web presence as assigned.
- Assist with department files and records management.
- Work collaboratively in support of U.A. colleagues to ensure the goals of the office are met
- Use initiative in developing and improving office procedures and service (i.e., answering phones when needed, welcoming guests to U.A. office, directing visitors to campus destinations, etc.).
- Perform other duties as assigned.
EDUCATION AND EXPERIENCE REQUIRED:
- Bachelor’s Degree preferred. Experience working with Windows-based computer applications. Experience in a customer service setting; committed to giving the best service possible to all University contacts (students, parents, faculty, staff, colleagues, alumni, and visitors).
OTHER REQUIREMENTS:
- Ability to accurately enter data and generate reports using Jenzabar database application and InfoMaker report writer (basic understanding of database theory helpful)
- Present professional demeanor representative of the University Advancement Office
- Ability to communicate effectively by phone and in-person
- Ability to lift 10 pounds.
- Ability to read, write and speak the English language effectively.
- Ability to sit for long periods of time.
- Ability to draft appropriate correspondence as required.
- Ability to comprehend guidelines, both verbal and written.
- Ability to work in a fast paced and stressful work environment.
- Ability to use various software applications including word processing, spreadsheets, and databases in a Windows-based environment on a PC.
- Above average mathematical and calculation skills.
- Ability to troubleshoot and present solutions.
- Ability to work independently or in a team environment.
- Ability to establish and maintain effective working relationships with colleagues, students, alumni, donors, and friends of the University.
WORK SCHEDULE: This is a non-exempt, 40-hour per week, 12-month position with occasional evening and weekend responsibilities.
