GENERAL DESCRIPTION: This position is responsible for oversight of office management procedures and operations; interaction with students, faculty, staff and visitors; receiving and responding to inquiries by phone and correspondence; typing and filing correspondence; scheduling in-house classroom space; assignment of security system identification numbers; supervising student workers and assisting with other various duties as designated by the supervisor.
ESSENTIAL JOB FUNCTIONS:
- Assist students, staff, faculty and visitors
- Receive and respond to telephone and email inquiries
- Revise and replenish directories, contact information, office forms, and documents
- Assemble materials used for recruitment and orientation meetings
- Accurately enter and verify student information in the Jenzabar computer system
- Manage files to include scanning and shredding all necessary documents
- Run reports to assist in recruitment using the Jenzabar computer system
- Create monthly calendar of events for the extension site using Microsoft Access
- Distribute information and form letters requiring signatures to various departments
- Order office supplies and conduct basic research using Microsoft for extension site
- Supervise Student workers
- Other duties as assigned:
Typical Physical Demands:
- Requires sitting, and standing.
- Requires some lifting, typically not more than 50 pounds.
- Must be able to read, write and communicate effectively in English orally and in writing.
- Ability to receive and respond to inquiries by telephone, email and in person.
- Requires manual dexterity sufficient to operate standard office equipment such as computer, printer, copy machine, fax machine, telephone and other office equipment as needed.
- Requires normal range of hearing and vision.
Other Demands:
- Requires a valid driver’s license and ability to drive any passenger vehicle without restrictions.
- Position involves provision of support services to William Woods University faculty, and staff.
- High School diploma or equivalent. Some college preferred.
- Experience working in an educational environment preferred.
- Minimum of two years’ Administrative Assistant or equivalent experience required.
- Prior successful work experience in a customer service oriented setting preferred.
- Attention detail and computer accuracy required.
- Ability to communicate effectively with students by phone and in person.
- Good oral and written communication skills with the ability to perform multiple tasks in a fast paced environment; functional ability with word processing, spreadsheets, databases and paperless systems. Preferred capability with Microsoft Office 2000-Professional Edition or higher, Alchemy and Jenzabar Ex systems.
- Ability to work independently with minimal direct supervision.
- Ability to exercise basic human relations skills and dealing with varied constituencies on and off campus.

WORK SCHEDULE: This is a non-exempt, full-time, 12-month position with occasional evening and weekend responsibilities.
